DUTIES
AND RESPONSIBILITIES

GENERAL

  • Conduct all professional activity in an ethical manner.
  • Conform to all applicable Agency policies and procedures.
  • In conjunction with other staff assist in identifying and eliminating any situation which puts at risk the health and/or safety of clients, staff, or others who come in contact with site operations.
  • Utilize literature, workshops, and other training aids to continually improve administrative skills.
  • Assist in assuring Agency compliance with all related accreditation requirements.
  • Strong written and oral communication skills, ability to manage multiple projects simultaneously, strong organizational and analytical skills, able to read and understand technical forms and financial reports, and willingness to establish and maintain effective working relationships
  • Other responsibilities and tasks as may be assigned.

DIRECT SERVICE

  • Accounting & Bank Reconciliations for the Foundation
  • Update and reconcile Prepaid schedule
  • Prepare Daily Cash Flow Report and present to CFO for review
  • Act as bank liaison by coordinating and resolving various issues with bank such as cleared check differences, bank fee anomalies, and enhancements to online services.
  • Review check requests and supporting documents, recommend invoices for payment, and forward to CFO to sign checks.
  • Manage day to day operations of the Accounting Department to include Accounts Payable, Accounts Receivable, General Ledger, Grant Management, and month end closing.
  • Review journal entries prepared by staff before they are posted into the accounting system and make adjustments as needed
  • Review all account reconciliations prepared by the accounting staff
  • Ensure all accounting transactions are recorded in accordance with generally accepted accounting principles (GAAP), federal, state and local authorities and Cobb CSB policy and procedures.
  • Prepare monthly financial statements and accompanying schedules, worksheets assist with “Budget vs. Actual” variance reports. Provide follow-up and documentation of significant variances.
  • Assist with completion of the quarterly and annual benchmark and KPI’s; preparation of assigned Quarterly and Annual schedules.
  • Assist CFO with annual operating and capital budgets. Provide and or assist in creation of cost saving initiatives and revenue opportunities.
  • Assist with annual external audit by preparing assigned schedules and providing the requested materials. And investigate and inform CFO on all technical accounting issues.
  • Provide leadership to subordinates. Interviews, hires, directs, trains, and evaluates the performance of, and when necessary, disciplines and discharges accounting employees.
  • Perform the financial administration and reporting of assigned federal and state grants which includes assisting in entering the budget and any adjustments, monitoring spending and assisting in accurate and timely reimbursements.
  • Ensure proper accounting and reporting of all grants and contracts.
  • Assist in operational analyses of accounting systems and procedures and compliance with grant/contract guidelines and state policies and procedures.
  • Work closely with all major program and departmental leaders of the agency on their budgets.
  • Answer questions and research information for granting agencies, grant coordinators, auditors, and state regarding assigned grants.
  • Assist in the development and implementation of accounting and internal control policies and procedures to ensure safeguarding and recording of assets.
  • Provides professional guidance and assistance in the solution of complex accounting problems.
  • Access computerized financial information to answer general questions as well as those related to specific accounts.
  • Analyze current procedures and recommend changes to develop and implement best practice accounting procedures.
  • Obtain supplementary information for preparing financial statements.
  • Prepare correspondence as needed within the department.
  • Update job knowledge by participating in educational opportunities, continued education, participating in professional organizations, etc.
  • Maintain confidentiality for all indirect/direct service in accordance with agency policies and HIPPA policies.
  • May represent the CFO, when designated, upon CFO absence.
  • Other responsibilities and tasks as may be assigned.

ADMINISTRATIVE

  • Maintain clinical records in accordance with agency policies.
  • Ensure timely completion of agency required trainings/workshops.
  • Other responsibilities and tasks as may be assigned.

KEY PERFORMANCE INDICATORS (KPIs)

  • Prepare Financial Statements and Variance Analysis timely 100% of the time.
  • Ensure Benchmarks and KPI’s are submitted timely 100% of the time
  • Ensure External Audit is completed in a timely basis with minimal recommendations.
  • Adhere to month end and year end closing schedule 100% of the time.
  • 100% of require trainings will be completed within specified time frames.

MINIMUM QUALIFICATIONS

  • Education – Minimum Bachelors of Science in Accounting or equivalent from an accredited university.
  • Licensure/Certification – N/A
  • Experience –Minimum of five to seven years of experience in the accounting industry. One to two years preferably in a management/supervisory role. Intermediate to Advanced experience with Microsoft Office. Strong analytical and accounting skills.
  • Other – Criminal background check clearance, official academic transcripts, valid driver’s license/ID,
  • drugscreen, TB test
